Make Your Casual Fundraiser a Fun, Easy Success All Day Long

Planning a silent auction for a community programs is a fantastic initiative, especially when it’s designed to be a relaxed, all-day affair. This kind of event thrives on easy participation during your main activities, with results announced efficiently at day’s end.

We’ve been planning a couple for upcoming events and thought we’d explore some practical ways to nail fundraising efforts and make a silent auction a smooth, highly successful part of our event. We thought we’d share some of those insights for those who are aiming to organize similar events and activities.

Curate & Captivate: Your Auction Items Are Key

First off, let’s talk about the stuff that’s being auctioned off and how we can show it. Get creative!

What do you think people in your community would genuinely love to bid on? Sure, those big-ticket items are always exciting, but don’t forget the charm of unique experiences or themed baskets. You know, like putting together a “Date Night Deluxe” with restaurant gift certificates, movie passes, and some gourmet treats, or a “Local Flavors” basket packed with goodies from neighborhood shops.

For a small, casual setup, presentation is key. Make sure the tables look inviting, are well-lit, and that every item has a clear, enticing description. Each item needs its own bid sheet that’s super easy to understand. You’ll want clear lines for names, bid amounts, and phone numbers. Make sure to set a starting bid and minimum bid increments (e.g., “bids must increase by at least $5”). A little visual appeal and clear instructions go a long way in getting those bids rolling in for a fun and engaging charity auction!

Engage & Energize: Keeping the Bids Coming All Day

Since many small silent auctions are integrated into other daily activities, keeping it visible and easy to participate in is key. You’ll rely on clear signage and enthusiastic volunteers. Position your auction tables in a high-traffic area where people naturally pass by. Have friendly volunteers casually walking around, pointing out items, answering questions, and reminding people about the auction. Maybe even make a few announcements throughout the day encouraging people to check out the items and place their bids.

Think about the flow: can people easily find the bid sheets? Are there enough pens, because people often walk off with them. Is it clear when the bidding closes? Making it effortless for someone to walk up, scribble down a bid, and move on is the goal. This relaxed approach is a great way to encourage widespread participation from your community event attendees.

Promote & Perfect: Spreading the Word and Wrapping Up

Finally, remember that spreading the word and following up are just as crucial as the event itself for a successful fundraiser. Shout it out everywhere – social media, local notice boards, your email list, whatever works best for your community! Hint at some of your amazing items beforehand to build anticipation.

Once the bidding closes at the end of the day, make the process of tallying results and notifying winners as smooth as possible. Consider having a designated area for winners to come check out and pick up their items. A quick and easy pick-up leaves everyone feeling good about the experience.

And here’s a big one: don’t forget to send out heartfelt thank-you notes. A genuine thank you to your donors, volunteers, and all the generous bidders really helps build those relationships for future support and solidifies your community fundraising efforts!

The Arts Incubator - Winnipeg is a participatory arts collective and living lab, based in Winnipeg, Manitoba and Northwestern Ontario. It's a space where innovation and creativity thrive. It's latest iteration was launched in 2021 with funding and support from the Canada Council for the Arts Digital Greenhouse. Whether through collaborative projects or immersive experiences, our small but vibrant community supports creators to explore, experiment, and connect. Join us at the intersection of artistry, technology, culture and community—where every moment is a new opportunity to create.
